Client data stays within your existing systems wherever possible. When AI processing is required, we use enterprise-grade providers (such as Anthropic's Claude API) that do not train on your data. We document every data flow in your build so you know exactly what touches what. We also sign a mutual NDA before discussing any specifics about your firm.
Yes. We build with Australian Privacy Act obligations in mind. All data handling is scoped to what's necessary, retention periods are documented, and we ensure your firm's obligations to clients are not compromised by the automation we introduce. If your firm has specific compliance requirements (e.g. AFSL obligations), we discuss these during the audit.
Yes — always. Before we learn anything specific about your firm's workflows, clients, or data, we sign a mutual NDA. This is a standard part of our process, not something you need to ask for.
Access is strictly limited to what's needed to build and test the agent. We operate on a minimum access principle — we never request broad admin credentials when read-only or scoped access is sufficient. All credentials are stored in a dedicated secrets manager, not in documents or email.

Our Process
The free audit is a structured call (usually 60–90 minutes) where we walk through your firm's current workflows step by step. We look at where your team spends time, where mistakes tend to happen, where bottlenecks pile up, and what you're already using to manage them. From this, we produce a written automation opportunity report — specific to your firm, not generic advice. No pitch until you've seen the value.
Typically 30 days from signing off on the build scope. Complex integrations or multi-step agents may take slightly longer. We'll give you a specific timeline before you commit to anything.
The audit call is 60–90 minutes. During the build phase, we'll need a few short check-ins (15–30 minutes each) to test flows and refine edge cases. Once live, monthly optimisation reviews are typically 30 minutes. We respect that your time is the exact thing we're trying to give back to you.
Yes. Team training is included in every build. We don't hand you something and disappear — we run a walkthrough with your team, answer questions, and provide written documentation specific to how the agent works in your firm. If you onboard new staff later, we'll help you get them up to speed too.
We check in monthly to review performance, identify improvements, and update the agent based on what's changed in your firm. Agents aren't set-and-forget — they get smarter and more specific over time as we learn your firm's edge cases. You're not just getting a build; you're getting ongoing optimisation.

Pricing & Contracts
Every engagement is scoped after the audit, because the cost depends on what you actually need built. We don't publish fixed prices for the same reason a builder doesn't quote before seeing the site. What we can say: the audit is free, there's no retainer until you've seen the audit report, and we'll give you a clear fixed-price quote before any build begins. No surprises.
The build is a fixed-price project — you pay for what we build. The ongoing monthly optimisation is a separate arrangement and is not locked in long-term. We'd rather you stay because the agent is delivering value than because a contract forces you to.
No problem. The audit report is yours to keep — it's a genuine deliverable, not a sales pitch. You can take the findings and implement them yourself, share them with another provider, or do nothing. We believe the right way to earn your business is to show value first.
You do. The agents we build are deployed in your own accounts and infrastructure. If you ever want to end the relationship, you walk away with everything — the agent, the documentation, and the integrations. We don't hold anything hostage.

Yes. Xero, MYOB, and QuickBooks are the platforms we work with most often. We also integrate with document management tools (like FuseSign, DocuSign), email (Microsoft 365, Google Workspace), communication tools (Slack, Teams), and CRM platforms. If you're unsure about a specific tool, ask us — we'll tell you honestly whether it's possible.
No. We build around the tools you already use — not the other way around. The agent fits into your existing workflow. Your team doesn't need to learn a new platform; they interact with the outputs through the tools they already use every day.
Not at all. Our job is to translate your workflows into automation — you don't need to understand how the agent works under the hood, any more than you need to understand how Xero's database works to use it. We handle all the technical setup and explain things in plain language throughout.
This is part of what the monthly optimisation covers. We monitor agent performance and respond to changes in the tools you use. If a platform update breaks something, we fix it — that's on us, not you.
We work with firms of all sizes. In fact, smaller firms often see the biggest return because the principal is doing repetitive admin that costs them client advisory time. A sole practitioner or two-person firm can get significant capacity back. Size isn't the deciding factor — the volume of repetitive work is.
